Summary

We are seeking a highly organized and detail-oriented Event Coordinator to support the planning and execution of internal and external events, including trade shows, conferences, and corporate functions. The ideal candidate will work closely with vendors, internal teams, and external partners to ensure seamless event logistics and successful outcomes.

Essential Duties and Responsibilities

Event Planning & Coordination

  • Coordinate and manage all logistical aspects of events, from initial concept through execution, ensuring that all deadlines and budgets are met.
  • Collaborate with internal teams to determine event objectives, target audience, and key messaging.
  • Oversee event timelines, schedules, and task assignments, ensuring all details are accounted for and on track.

Vendor & Partner Management

  • Build and maintain strong relationships with event vendors, venues, suppliers, and external partners.
  • Source, negotiate, and manage contracts with vendors such as caterers, decorators, audio-visual providers, and event rental companies.
  • Ensure the timely delivery of products and services and resolve any vendor-related issues as they arise.

Event Promotion & Marketing Support

  • Assist with the creation and execution of event marketing plans to drive attendance and engagement, including social media campaigns, email marketing, and event registration.
  • Support on-site event branding, promotional materials, and giveaways.

On-Site Event Management

  • Manage on-site event activities, including check-in, guest services, registration, and coordination of all event staff.
  • Troubleshoot and solve any issues that arise during events, ensuring a smooth experience for attendees, stakeholders, and vendors.

Post-Event Evaluation

  • Assist in gathering feedback and evaluating the success of each event.
  • Prepare post-event reports, including attendee feedback, vendor performance, and suggestions for future improvements.

Education and/or Experience

  • 2+ years of experience in event coordination, planning, or related roles, preferably with experience organizing trade shows, conferences, or corporate events.
  • Bachelor’s degree in Event Management, Marketing, Communications, or a related field (preferred, but not required).

Travel

  • Willingness to travel for events, both locally and nationally (if applicable).

Computer Skills

  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and event management software (e.g., Cvent, Eventbrite, or similar tools).

Other Requirements

  • Ability to work occasional evenings and weekends as needed for event coordination.

Other Skills

  • Strong organizational and project management skills, with the ability to multitask and prioritize in a fast-paced environment.
  • Excellent communication skills (verbal and written), with the ability to liaise effectively with internal teams, vendors, and event stakeholders.
  • Attention to detail and a problem-solving mindset.
